PRIVACY NOTICE ON THE PROCESSING OF AUTHORS' PERSONAL DATA

Pursuant to Regulation (EU) 2016/679 (GDPR) and national legislation on personal data protection, the online journal, Journal of Polisanalysis, as Data Controller, provides the following information notice on the processing of personal data of authors whose articles are published in the online journal.

3. Purposes of Processing Authors' personal data are processed for the following purposes:

  • Publication management: for the management and publication of articles in the online journal, including editorial review and promotion.
  • Communication with the author: to communicate with the author regarding the publication, modifications, or requests related to the articles.
  • Legal and contractual obligations: to comply with fiscal, legal, and accounting obligations, in the case of financial compensation.

  • Performance of a contract (Art. 6, par. 1, lett. b GDPR): processing is necessary for the performance of the collaboration agreement between the author and the journal (publication of the article).
  • Compliance with legal obligations (Art. 6, par. 1, lett. c GDPR): in case of fiscal or accounting obligations arising from the publication and payment for articles.
  • Consent (Art. 6, par. 1, lett. a GDPR): for the use of the author's image, biography, or other sensitive data, where required.

5. Processing Methods Personal data processing is carried out mainly using IT and telematic tools. Data are processed using methods suitable to ensure security and confidentiality, in compliance with the technical and organizational measures provided for by the GDPR.

6. Data Recipients Authors' personal data may be communicated to:

  • Internal editorial staff managing publication and administrative tasks.
  • Hosting services or online platforms hosting the journal and its content.
  • Payment service providers (if applicable, for the payment of compensation).
  • External professionals (such as legal or tax consultants, or auditors), if necessary to fulfill contractual or legal obligations.
  • Other bodies or authorities where required by law (e.g., for tax or security obligations).

7. Data Transfer Abroad Personal data are not transferred outside the European Union, unless necessary for the fulfillment of contracts concluded with the author, and in such cases, adequate safeguards provided for by the GDPR will be adopted (e.g., adoption of standard contractual clauses).

8. Data Retention Period Authors' personal data will be kept for the time necessary to fulfill the purposes for which they were collected. Specifically:

  • Data relating to the publication of articles will be kept as long as the article remains published in the journal.
  • Payment and administrative data will be kept for the time required by tax and accounting legislation (generally 10 years).
  • Data relating to the author's biography and contacts may be kept as long as the author wishes to remain included in the journal's author database.

9. Data Subject's Rights As an author, you have the right to:

  • Request the rectification of your personal data if inaccurate or incomplete.
  • Request the erasure of data (right to be forgotten) when they are no longer necessary for the purposes for which they were collected.
